For athlete participation workflows, we may process additional information such as athlete profile details, eligibility information, guardian or emergency contact information, team assignment details, waivers, consent records, and operational notes needed to support club safety and administration.
We may also collect technical and usage information, including device type, browser type, IP address, app version, access times, log data, performance data, and interactions with our services.
2. How We Use Information
We use information to provide, operate, maintain, and improve Athrix HQ and related services. This includes supporting club registration, tryouts, roster decisions, scheduling, team management, payments, shop orders, communication, notifications, safety workflows, reporting, customer support, and product reliability.
We may also use information to personalize role-based experiences, prevent misuse, investigate issues, enforce policies, comply with legal obligations, and communicate important service updates.
3. Club Roles and Visibility
Athrix HQ is designed around role-based access. Information may be visible to authorized users within a club or organization, such as owners, directors, administrators, coaches, parents, guardians, athletes, and staff, depending on permissions and the workflow involved.
Club administrators are responsible for assigning appropriate access, maintaining accurate participant information, and ensuring they have the authority to provide information about athletes, parents, guardians, staff, and other users.
4. Communications, Safety, and Monitoring
Athrix HQ may support team messages, alerts, email, in-app notifications, push notifications, and other club communications. Communications and related activity may be reviewed by authorized club staff and automated systems for safety, moderation, compliance, support, and audit purposes.
Content or activity that appears unsafe, abusive, illegal, harmful, or inconsistent with club policies may be flagged, investigated, restricted, preserved, or disclosed where appropriate under policy or law.
5. Payments and Shop Data
Athrix HQ may support dues, deposits, registration fees, event payments, uniforms, gear, spirit wear, and other shop transactions. Payment processing may be handled by third-party payment providers. Athrix HQ does not intend to store full payment card numbers when payments are processed by those providers.
We may retain payment status, transaction references, invoice details, order details, refunds, credits, and related records needed for club operations, accounting, support, dispute resolution, and compliance.
6. How We Share Information
We may share information with authorized club users according to role permissions, with service providers that help us operate the platform, and with third parties that support hosting, infrastructure, analytics, messaging, notifications, payments, security, support, and other core services.
We may disclose information when required by law, legal process, or government request, or when we believe disclosure is necessary to protect users, athletes, clubs, Athrix HQ, or others; enforce agreements and policies; investigate suspected abuse; or respond to safety concerns.
7. Children and Minors
Athrix HQ supports youth sports workflows and may process information about minors in connection with club participation. Minor-related information should be provided by a parent, guardian, club administrator, or other authorized adult with appropriate consent or authority.
Parents, guardians, and authorized club administrators may contact us to request help reviewing, correcting, or deleting information associated with a minor, subject to identity verification, club record needs, safety obligations, and legal retention requirements.

We retain information for as long as reasonably necessary to provide services, support club operations, maintain records, resolve disputes, enforce agreements, comply with legal obligations, and protect the integrity and safety of the platform.
Retention periods may vary depending on the type of data, the club relationship, operational needs, legal requirements, safety needs, and user or organization requests.
